How to Track Rental Income and Expenses (Without Paid Software)

If you own one to a few rentals, you don't need property-management software to keep good books. You need one place where every dollar in and out is written down, sorted by property, and labelled with a category you'll use at tax time.

1. Keep one ledger, with a property column

Each row is one transaction: date, property, category, description, amount in or out. One ledger with a property column is easier to keep up than a separate file per property, and you can still total each property separately.

2. Use categories that match your tax form

US landlords usually report rental income and expenses on Schedule E. Its expense lines include advertising, auto and travel, cleaning and maintenance, commissions, insurance, legal and other professional fees, management fees, mortgage interest, other interest, repairs, supplies, taxes, utilities, depreciation, and other. If your categories match those lines, filling in the form is mostly copying totals.

3. Track rent due vs rent collected

Income isn't just "rent received". Record what was due each month and what actually came in, so late or partial payments are visible, not buried.

4. Keep repairs separate from improvements

Repairs that keep a property in working order are generally deducted in the year you pay them. Improvements that add value or extend its life are generally capitalized and depreciated. The line between them has detailed IRS rules, so tag anything large and ask your tax preparer.

5. A 15-minute monthly routine

  1. Enter every rent payment and bill from the month.
  2. Check rent collected against rent due for each unit.
  3. Save receipts in a folder named by month.
  4. Look at each property's net cash flow for the month.

Done monthly, tax season is a matter of reading off totals rather than reconstructing a year from bank statements.
